Step-by-step guide to prepare for a photoshoot

Coordinating all aspects of a model photoshoot, including props, equipment, locations, and people, can be overwhelming and stressful.
The key is to stay organised and take all the steps necessary to prepare for the shoot.
We've helped clients like Kings of Indigo execute seasonal photoshoots, both on location and in studio.
Want to know how we do it?
Here's all the steps to consider when planning and coordinating a photoshoot:
Step 1: Use project management tools for planning & coordination
Organise your tasks and keep everyone on track by implementing a project management tool. Many of these tools come with a free version and can help you or your team maintain a clear overview of what needs to be done. Some of our favourite project management tools include:
Define and document the roles of each team member (photographer, stylist, art director, client) within the project management system. Assign specific tasks and deadlines to each role to keep everyone accountable.
Step 2: Scout potential photoshoot locations
The location of your photoshoot depends on your creative directions and intended use of the final images.
Photoshoots can occur outdoors, on-location, or in-studio with each setting offering different degrees of creativity and control.
Use sites like Locationscout and Shothotspot to find photography hotspots in your area.
Get to know your local business and property owners with interesting interior spaces. Don't forget public spaces like libraries, churches, and train stations.
Create a catalogue of all potential shooting locations with details like lighting conditions, available amenities, and any restrictions or permits required.

Step 3: Prep your products before the shoot
Make sure all your props, equipment, and products are organised and ready to be photographed before shoot day.
This includes cleaning, steaming, shining, assembling, and organizing all the items and props to minimise wasted time during the shoot.
We recommend creating a comprehensive shoot list for every image you want to take and use this to make sure all items are checked off and accounted for.
Step 4: Coordinate with your team with a call sheet
Create a call sheet to make sure your entire team is on the same page. This should include the checklists for equipment, props, and personnel as well as a schedule break-down and location information.
How to plan a photoshoot like a pro

Aside from the basics of photoshoot planning, here are a few lessons we've learned to help things go smoother:
Meet regularly to check in
Hold meetings with all involved parties to discuss the shoot plan, roles, and responsibilities.
Clear communication helps ensure everyone understands their tasks and can address any potential issues beforehand.
Centralise your file sharing system
Use cloud-based storage solutions like Google Drive or Dropbox to share and organise all project-related files.
Set up a clear folder structure for easy navigation and access control.
Coordinate with scheduling tools
Use scheduling tools to coordinate the availability of locations, equipment, and personnel. Tools like Google Calendar, Doodle, or specialised photography scheduling software can help avoid conflicts and ensure everyone is on the same page.
